Position Summary
The Junior Office Assistant provides general administrative and clerical support to ensure the smooth day-to-day operation of the office. This entry-level role is ideal for someone who is organised, reliable, and eager to develop office and administrative skills while supporting multiple team members.
Key Duties and Responsibilities
Administrative Support
- Answer and direct phone calls, emails, and general inquiries in a professional manner
- Greet visitors and assist with basic front-desk or reception duties
- Perform data entry, filing, scanning, and document management (both digital and physical)
- Prepare simple documents, letters, and reports using standard office software
Office Operations
- Assist with maintaining office supplies, including monitoring stock levels and placing orders
- Help keep shared office spaces tidy, organised, and functional
- Support meeting preparation, including room setup, printing materials, and scheduling
- Handle incoming and outgoing mail and deliveries
Team Support
- Provide administrative assistance to various departments as required
- Help coordinate calendars, appointments, and internal communications
- Assist with basic bookkeeping tasks such as invoice processing or expense tracking (where applicable)
- Carry out general ad hoc tasks to support team efficiency
Record Keeping and Compliance
- Maintain accurate records and ensure documents are stored according to office procedures
- Follow company policies, confidentiality requirements, and workplace health and safety guidelines
Skills and Competencies
- Basic computer skills, including word processing, email, and spreadsheets
- Strong organisational skills and attention to detail
- Good written and verbal communication skills
- Ability to manage time effectively and prioritise tasks
- Willingness to learn and take direction
Qualifications and Experience
- High school diploma or equivalent
- Previous office, administrative, or customer service experience is an advantage, but not required
- Suitable for recent graduates or individuals seeking entry-level office experience
