Position Summary

The Junior Office Assistant provides general administrative and clerical support to ensure the smooth day-to-day operation of the office. This entry-level role is ideal for someone who is organised, reliable, and eager to develop office and administrative skills while supporting multiple team members.

Key Duties and Responsibilities

Administrative Support

  • Answer and direct phone calls, emails, and general inquiries in a professional manner
  • Greet visitors and assist with basic front-desk or reception duties
  • Perform data entry, filing, scanning, and document management (both digital and physical)
  • Prepare simple documents, letters, and reports using standard office software

Office Operations

  • Assist with maintaining office supplies, including monitoring stock levels and placing orders
  • Help keep shared office spaces tidy, organised, and functional
  • Support meeting preparation, including room setup, printing materials, and scheduling
  • Handle incoming and outgoing mail and deliveries

Team Support

  • Provide administrative assistance to various departments as required
  • Help coordinate calendars, appointments, and internal communications
  • Assist with basic bookkeeping tasks such as invoice processing or expense tracking (where applicable)
  • Carry out general ad hoc tasks to support team efficiency

Record Keeping and Compliance

  • Maintain accurate records and ensure documents are stored according to office procedures
  • Follow company policies, confidentiality requirements, and workplace health and safety guidelines

Skills and Competencies

  • Basic computer skills, including word processing, email, and spreadsheets
  • Strong organisational skills and attention to detail
  • Good written and verbal communication skills
  • Ability to manage time effectively and prioritise tasks
  • Willingness to learn and take direction

Qualifications and Experience

  • High school diploma or equivalent
  • Previous office, administrative, or customer service experience is an advantage, but not required
  • Suitable for recent graduates or individuals seeking entry-level office experience
